Privacy Policy

This describes what Employer Compass stores and who can see it. It is written from how the product actually works today. Employer Compass is operated by Employer Compass LLC.

Who this covers

Employer Compass is used by an employer. The employer decides what employee information to enter, and the employer remains responsible for that information. Employees named in records do not have their own accounts unless they are invited to sign a notice.

What we store

  • Account details: the email address and password you register with.
  • Company details you enter during setup: company name, and optionally legal name, industry, employee count, state, city, and website.
  • An optional company logo, if you upload one.
  • Employee records you enter or upload: name, optional middle initial, employee number, email address, hire date, and status.
  • The records you create: policies and their settings, recorded issues and supporting notes, decisions, notices, and signature history including the date and time a notice was signed.
  • Billing status for your company: plan, subscription state, and trial or renewal dates.

What we do not store

Card numbers are never entered into Employer Compass and are never stored by us. Payment details are handled entirely by our payment processor. We do not upload or store scanned documents or images as supporting evidence; supporting information is recorded as text.

Who can see your information

  • Your company's information is separated from every other company. People signed in to another company cannot see it.
  • Inside your company, what a person can see depends on their role. Managers can be limited to only the employees assigned to them.
  • An employee invited to sign a notice can see only that notice, through a single-use link sent to their email address.

Service providers we rely on

  • Supabase — account sign-in, data storage, and file storage.
  • Stripe — subscription payments and the billing portal.
  • Resend — sending notice and signature emails.

These providers process information on our behalf so the product can work. We do not sell your information and we do not use employee records for advertising.

How long we keep information

We retain information for as long as needed to provide Employer Compass, maintain business and security records, comply with legal obligations, resolve disputes, and enforce our agreements. Deactivating an employee preserves the company’s employment-history records. A company may request account deletion by contacting info@myemployercompass.com. Some information may be retained when required for legal, accounting, security, or legitimate business purposes.

Your choices

You can edit or correct company and employee details at any time from inside the product. To ask a question about your information, or to request removal of your company account, contact info@myemployercompass.com.
